What is the OneFile Tax Document Tracker?
The OneFile Tax Document Tracker is a single, self-contained HTML file that helps South African tax practitioners generate branded SARS document requests and track what's outstanding across every client.
It is made by Azad Motala for solo and small SA practices working through SARS eFiling. It runs in any modern browser, online or offline; client data is saved only on your device (POPIA-friendly). No login, no subscription: try it free in your browser, then own the download for a one-time price and use it for unlimited clients across every tax season.
Process
How it works, step by step
Three steps from setup to a follow-up reminder. Everything you set is saved on your device and picks up where you left off next time.
-
Set up your practice once
Add your practice name, PR number, logo, accent colour and contact details. They brand every request you send.
-
Generate a request
Pick the client's entity type and return (ITR12, ITR14, IRP6, VAT201, or FICA onboarding); the SARS-appropriate checklist pre-loads; edit per client; produce a branded request pack plus copy-paste email and WhatsApp text in under a minute.
-
Track and chase
Every request adds the client to the dashboard. Tick items off as they come in; one click regenerates a reminder listing only the items still outstanding.

- Edit and save: every list is a starting point: tailor per client, save your own house preset, and the tool remembers it

FAQ
Frequently asked questions
Does the Tax Document Tracker work offline?
Yes. It's one HTML file, so it opens and works with no internet connection. Generate requests and update tracker statuses anywhere, even during load-shedding.
Where is my clients' data stored, and does it leave my computer?
Nothing leaves your computer. The tool runs in your browser; client records and document statuses are saved only in your device's local storage. POPIA-friendly. Back up regularly using the built-in JSON export.
Which SARS returns does the checklist cover?
ITR12 (Individual), ITR14 (Company/CC), IRP6 (Provisional), VAT201, and FICA onboarding. Each entity type (Individual, Sole Proprietor, Company/CC, Trust) loads a SARS-appropriate document checklist that you can edit, add to, or save as your own house preset.
Do I need an account or a subscription?
No subscription and no account. Try it free in your browser, then buy the OneFile download once to keep your own copy: unlimited clients, unlimited tax seasons, yours forever, with no recurring fee.
Will my branding or my client's documents carry any OneFile mark?
No. Every generated request shows your practice branding only: your logo, your accent colour, your contact details. The PDF, email and WhatsApp text are yours; OneFile does not appear on anything you send to clients.
What devices does it work on?
Any modern browser: Windows, macOS, Chromebook, iPhone, iPad, and Android phones and tablets. Install it to your home screen for one-tap access.
Is this tax advice, and are the SARS checklists definitive?
No. The Tax Document Tracker is an administrative tool for requesting and tracking documents, not tax advice. The pre-loaded SARS checklists are editable starting points, not a definitive list; verify current requirements with SARS and apply your own professional judgement.
